After hours answering for lawyers
An after hours answering service for lawyers answers when the office is closed, records what a solicitor needs and puts urgent matters through to whoever is on call. A 38-hour full-time week, the National Employment Standards maximum, leaves 130 hours a week uncovered. Yes AI’s after hours and weekend coverage starts on the Professional plan.
Which after hours calls matter to a law firm?
Calls outside business hours often come from people in a crisis, or from people who could only call once work finished. The table shows the common ones and a sensible default for each. Your firm sets the actual rule.
| Call | When it may arrive | Default handling |
|---|---|---|
| A client or relative says someone has been arrested | Late evening, overnight, weekends | Live transfer to the on-call criminal lawyer; if no answer, an SMS alert and a call back time for the caller |
| Family violence or an intervention order | Any hour | If anyone is in immediate danger, the caller is told to hang up and ring 000; support numbers given; then the firm’s family law rule applies |
| A child not returned after contact, or a threatened move interstate | Sunday evenings, school holidays | Transfer or SMS to the on-call family lawyer |
| A death in the family and questions about the will or funeral | Evenings | Details taken with care, appointment offered, no urgency unless the firm’s rule says otherwise |
| Injury at work or on the road | After the caller’s own shift ends | Intake questions, date of the injury recorded, consultation booked |
| An existing client anxious about tomorrow’s hearing | The night before court | Message to the solicitor, with an SMS if the hearing is the next morning |
| New enquiries in general | Evenings and Saturdays | Full intake and a booking for the next available consultation |
How an after hours call is handled
- The agent answers in the firm’s name, says it is an AI assistant answering after hours, and gives your recording notice.
- It listens for your urgent triggers first. Words such as “arrested”, “police station”, “intervention order” or “court tomorrow” move the call straight to the urgent path.
- On the urgent path it collects only what the on-call solicitor needs (the caller’s name and number, who is affected, where they are, and the police station or court if known) and transfers the call.
- If the transfer is not answered within the time you set, the solicitor gets an SMS and the caller is told plainly that a message has been taken and roughly when to expect a call back.
- Non-urgent calls go through the normal intake questions. On the Professional plan the agent can book the caller into a consultation for the next business day.
- By the time the office opens, every after hours call is waiting as a summary in the intake mailbox, with urgent ones marked.
Writing your urgent routing rules
The routing rules are the part of setup that deserves a partner’s time. A workable rule set answers five questions:
- What counts as urgent at this firm? Usually: a client in custody, a family violence risk, a hearing within 24 hours, and an imminent settlement or court deadline. Everything else waits until morning.
- Who is on call, and when? Name a person for each roster period and a backup. The roster can rotate by the week or by the day.
- How long does the agent try a transfer? For example, 30 seconds to the on-call mobile, then the backup, then SMS to both.
- What does the caller hear if nobody answers? A truthful message, such as “the solicitor on call has your details and will call back tonight or first thing tomorrow”. The agent never promises a lawyer will attend a police station.
- Which hours count as after hours? Some firms start the after hours rules at 5pm, others at 6pm, and court mornings from 7am to 9am often get their own rule so clients appearing that day reach their solicitor directly.
What the agent must never do after hours
These limits belong in every legal setup:
- It does not advise a caller on whether to answer police questions, what to say in an interview, or whether to apply for an intervention order.
- It does not promise representation, bail, an outcome, or that a lawyer will be available at a particular time.
- It does not tell a caller that their matter is or is not legally urgent. It applies your firm’s rules and passes the decision to a person.
- It does not keep a frightened caller on the line answering intake questions. A short call that gets the right number to the right person is the goal.
Callers in danger or distress
An AI agent is worse than a trained person at comforting someone who is frightened, grieving or angry, so the design keeps those calls short and moves them to people who can help. For anyone in immediate danger the agent says to hang up and call 000. For family violence in Victoria, Safe Steps answers 1800 015 188 at any time of day or night, and nationally 1800RESPECT answers 1800 737 732, 24 hours a day, 7 days a week. Your firm decides which numbers the agent gives and in what order.
Callers whose matter the firm does not handle can be pointed to Victoria Legal Aid’s Legal Help on 1300 792 387 during its weekday hours, or to another service you name.
Weekends, public holidays and court mornings
Public holidays follow the same rules as weekends unless you set otherwise. Court mornings are easy to overlook: between 7am and 9am a client due in court may ring with a question nobody is in the office to answer. A court morning rule that sends those calls to the solicitor’s mobile, and everything else to a message, fixes that without handing out personal numbers.
Daytime overflow and the rest of the setup
The same agent can take overflow during the day, when reception is on another line or at lunch. The call rules are shared, so there is one set of instructions to maintain. The daytime side is described on AI receptionist for law firms, and the intake questions are on AI client intake.
What after hours coverage costs

|---|---|---|---|
| Starter | Business hours only | $299 per month | $499 |

A minute is connected talk time handled by the AI. Unanswered calls do not count, and when a call is transferred to your on-call solicitor only the AI part is billed. Minutes beyond the allowance are charged per minute at the plan’s rate.
